Terms and Conditions for SouthCoastGala (Supplying and Decorating Services)

1. Introduction These Terms and Conditions (“Terms”) govern the provision of services by SouthCoastGala (“we,” “us,” “our”) to the client (“you,” “your”). By booking our services, you agree to comply with these Terms. If you do not agree with these Terms, please refrain from using our services.

2. Services Provided SouthCoastGala offers event decoration and supply services, including, but not limited to • Balloon decorations • Equipment rentals (e.g., photo booths, disco lights, JBL speakers) • Flower arrangements (including artificial flowers) • Other event supplies and decorations as specified in the agreement

3. Booking and Payment • A booking deposit of 25% is required at the time of booking to confirm and secure your event, provided the total amount exceeds £1,000. • Full payment is due no later than the day prior to the event setup. No equipment will be delivered or set up at the venue until full payment is received. • Some equipment may require an additional deposit, which will be outlined at the time of booking. The deposit will be refunded upon the safe return of the equipment. • Payments can be made via bank transfer, cash, or card reader, as mutually agreed upon.

4. Cancellations and Refunds • Cancellations made 3 days or more before the event will incur a cancellation fee of 25% of the total event cost. • If SouthCoastGala is unable to provide services due to circumstances beyond our control, the client will receive a full refund or be offered alternative services.

5. Client Responsibilities • The client is responsible for ensuring that the venue allows for the setup and installation of our decorations and equipment. • The client must provide access to the venue at the agreed date and time for both setup and removal of decorations and equipment. • The client is responsible for ensuring that the venue’s safety regulations are adhered to during the event. • The client agrees to provide accurate event details, including but not limited to timing and location, to ensure smooth planning and execution of services.

6. Delivery, Setup, and Removal • Delivery and collection of equipment are included for the first 5 miles from our base location. For each additional mile, a charge of £1 per mile will apply. • Delivery and collection will occur between 9:00 AM and midnight, unless otherwise agreed upon. • If the collection of items occurs on a different day, the client must store the items securely until collection. • A next-day collection will incur an additional charge of £20. • SouthCoastGala will deliver and set up all decorations and supplies at the venue in accordance with the agreed schedule. • All decorations and supplies provided by SouthCoastGala will be removed following the event unless otherwise agreed in writing. • The client must notify SouthCoastGala of any damaged or missing items at the time of setup. • Customer collection and drop-off of certain items may be available upon request; however, not all items are eligible due to specific setup requirements. • A signature may be required at the time of delivery or collection.

7. Liability, Damage, and Insurance • The client is responsible for any cleaning, damage, or loss to any equipment or decorations provided by SouthCoastGala during the event. Any necessary cleaning, repair, or replacement costs for damaged or lost equipment will be charged to the client. • SouthCoastGala is not liable for any damage, injury, or loss occurring at the event unless caused directly by our negligence. • Clients are responsible for obtaining their own event insurance and ensuring the safety of all attendees. • SouthCoastGala is not responsible for any damage to the venue caused by improper handling or setup of decorations or equipment provided.

8. Force Majeure SouthCoastGala shall not be liable for failure to perform any obligations under these Terms if such failure is caused by circumstances beyond our reasonable control, including but not limited to acts of nature, strikes, civil unrest, or other unforeseen emergencies.

9. Privacy Policy We respect your privacy. Any personal information we collect will be used solely for event planning and communication purposes. We will not share your personal information with third parties without your consent, except where required by law.

10. Modifications to Terms SouthCoastGala reserves the right to amend or modify these Terms at any time. Any changes to the Terms will be communicated to clients via email.

11. Governing Law These Terms are governed by and construed in accordance with the laws of [United Kingdom]. Any disputes arising from or in connection with these Terms shall be resolved in the courts of [United Kingdom].

12. Balloon Lifespan Our balloons are only guaranteed to last for 24 hours - we are not liable for any deflation after 24 hours of setting the balloon displays up.

13. Latex Allergies All of our balloon displays contain latex. Southcoastgala are not liable for any allergy related issues with latex.

14. Photography Southcoastgala reserves the right to use any photography of our products and services taken during the hire period. Any photography will be used for promotional purposes on our website and/or social media. If you have any objections to this please let us know in writing prior to your event.
